1.Who we are
Anioma Roots is run by Peter Emeka Nwaeme, trading as Anioma Roots, of 19 Community Avenue, Irawo, Lagos, Nigeria. He is responsible for your personal data (the "data controller"). For any privacy question or request, email peteremeka@gmail.com.
2.What we collect
- Account details: your name, email address, password (stored scrambled by our sign-in provider, never readable by us), date of birth, country, time zone, and when you last used the site.
- Agreements: when you accepted our Terms of Service and Privacy Policy, and which version, and your confirmation at checkout.
- Parent or guardian details: for under-18s, the parent's or guardian's name and email address, and when they gave consent.
- Payments: your plan, payment status, amounts, dates and any refunds. Card details go directly to our payment provider, Bachs. We never see or store them.
- Learning activity: lessons completed, quiz answers and results, and flashcard progress.
- Live classes: the classes you are booked into. If a group class is recorded, the recording includes your voice and, if your camera is on, your image.
- Messages: what you send us through the contact form or by email.
- Know Your Name: the names you look up, and a daily count of your lookups.
- Technical data: your IP address, browser and device type, server logs, error reports, and page-view counts that do not identify you. We use your IP address, scrambled (hashed) so it cannot be read, to apply fair-use limits.
3.Why we use it
| Purpose | Legal basis |
|---|---|
| Create and run your account, give you lessons and classes, and take payments | Our contract with you |
| Send service emails: sign-up, receipts, class reminders, plan changes | Our contract with you |
| Keep the site secure, prevent abuse and apply usage limits | Our legitimate interests |
| Fix problems and improve lessons | Our legitimate interests |
| Let under-18s use the site | Parent's or guardian's consent |
| Use your words or image in marketing | Your written consent |
| Keep payment records for accounting and tax | Legal obligation |
We do not send newsletters or marketing emails. If we ever start, we will only send them to people who choose to receive them.
5.Know Your Name and AI
When you look up a name, only the name is sent to our AI provider, never your account details. Please do not type anything other than a name. Names you look up may be saved, without being linked to you, and added to our name library.
7.How long we keep it
| Data | Kept for |
|---|---|
| Your account and learning data | Until you delete your account |
| Free accounts with no activity | 3 years, then deleted 30 days after an email warning |
| Under-18 accounts without a parent's or guardian's approval | Deleted after 14 days |
| Payment records | While your account is open. After it is deleted, kept for tax and accounting with your name and contact details removed |
| Group class recordings | 60 days |
| Messages to us | Up to 2 years |
| Daily Know Your Name counts | A few days |
| Names saved in our name library | Indefinitely, not linked to anyone |
| Server logs, error reports and backups | A limited period set by our providers |
When you delete your account, we delete your personal data from our systems straight away. We keep only payment records, with your name and contact details removed. Some copies stay with others for a time: Bachs keeps your name and email with its payment records, our email provider keeps delivery logs, and emails you sent us stay in our inbox for up to 2 years.
8.Your rights
Wherever you live, you can ask us to:
- give you a copy of your data,
- correct it,
- delete it (you can also do this yourself from your Account page),
- send it to you in a format you can take elsewhere,
- stop or limit using it, or
- withdraw a consent you gave.
Email peteremeka@gmail.com. We will reply within 30 days, and may ask you to confirm your identity first. If you are unhappy with how we handle your data, you can complain to your data protection authority. That is the Nigeria Data Protection Commission (NDPC) in Nigeria, the Information Commissioner's Office (ICO) in the UK, your national authority in the EU, and the Office of the Privacy Commissioner in Canada.
9.Children
Anioma Roots has no minimum age, but anyone under 18 needs a parent's or guardian's consent. When an under-18 signs up, we email their parent or guardian to confirm consent before the account can be used. We collect only what we need to teach the child. A parent or guardian can ask to see, correct or delete their child's data at any time. Group class recordings may include children who attended. One-to-one classes are never recorded.
10.Keeping your data safe
All data is encrypted in transit (HTTPS). Only the people who run Anioma Roots can access student data, and only when they need to. If a data breach could put you at risk, we will tell you and the relevant authorities as the law requires.
11.Data stored outside Nigeria
Our database is hosted in Ireland (EU). Some of our other providers store and process data elsewhere, including in the United States. We rely on their data protection terms and recognised safeguards, such as standard contractual clauses, to protect it.
12.Changes to this policy
If we make important changes, we will email you before they take effect. The date at the top shows when this policy last changed.
